  • How to Rock Registration & Make a Great First Impression

First impressions count for a lot, and registration is one of the first things that people see when arriving at an event. So it’s important to get it right. The location and setup, the way staff members present themselves, and how issues are handled can set the tone for the rest of your event. Make sure to consider these five tips when setting up your next registration.

TIP ONE
Create a solution station. Any issues that arise when guests check in, such as name changes and payments, should be directed to the solution station. This will help to maintain a stress-free environment and avoid a bottleneck in the registration line.

TIP TWO
Rethink traditional setups. If you don’t have any materials to hand out at registration, consider using podiums or a dressed high-top rather than the traditional banquet tables. Standing lets you talk to guests at eye level and sets the tone for a unique event.

TIP THREE
Collaborate in the cloud. Ditch the paper and use apps like CheckinEasy or Google Docs at registration. And at the close of the event, you’ll have a completely updated attendee list.

TIP FOUR
Know your window for attendee arrivals and choose your line accordingly. Depending on how tight of a window you have, consider using one of the following registration line methods:

A-Z: Split the lineup into sections by attendees’ last name. When figuring out where to split the alphabet, consider how many attendees you want in each group. Tip: It’s best to use elevated signage to show attendees which line to enter. 

“TJ Maxx-style”: Assign one staff member to act as the registration concierge. This person has dual responsibilities: to direct attendees to open registration staff and to connect with them while they wait in line. 

TIP FIVE
Stay organized. Invest in name-badge trays to keep your name badges organized. Once your registration line dies down, consolidate and declutter.

The SGMP certifies employees of government entities through the voluntary GMS program whose  goal is to teach planners and suppliers to plan meetings and events in the most effective way possible for their government employers.
